Sound familiar?

What slows your clinic down?

Your services and USP aren’t clearly communicated.

Delivered as a project

GP referral optimisation

A clear service summary for GPs, a branded referral package and referral tracking.

You’ve added practitioners or services, and the website hasn’t caught up.

Delivered as a project

Practitioner and service page update

New or updated pages for every practitioner and service, with clear fees, rebates and booking links.

You’re opening a new location and it needs to look and feel like the rest of the practice.

Delivered as a project

New location brand kit

Brand extension, signage, stationery and a local launch plan, so every clinic looks like one practice.

Your front desk spends hours on intake forms, reminders and follow-ups.

Delivered as a project

Service design optimisation

We map booking, intake and reminders, then redesign them in the software you already use, with the top fixes for your front desk.

Processes live in people’s heads, so every new clinician or site starts from scratch.

Clinic Customer Experience

Living practice playbook

A short, visual map of your new patient journey: booking, intake forms, reminders and front desk support. Reviewed quarterly, so every new clinician or site has a clear place to start.

Your new practitioners have empty diaries because local patients and GPs don’t know them yet.

Delivered as a project

New practitioner launch

A practitioner page, Google Business Profile and health directory listings, plus a GP introduction flyer, so locals and GPs know who has joined.

Why clinics work with us

A UX designer who worked as practice manager inside a growing allied health practice.

Our founder led brand, marketing and business development as practice manager of a multi-site allied health group, supporting its growth from 4 clinics to 13 in under two years. So we understand bulk billing, GP referral pathways, practitioner onboarding and you won’t spend the first month explaining how a clinic runs.

Our founder also brings postgraduate studies in graphic and web design at UNSW, UX UI Transform and Elevate credentials and the nationally recognised BSB40320 Certificate IV in Entrepreneurship and New Business. The design and UX training shape how we look at your patient journey, front-desk workflow and website, through the eyes of the people using them. The business qualification means our support also covers the business side of running a clinic informed by real practice-management experience.

Healthcare marketing requires a considered approach to compliance. We take AHPRA’s advertising guidelines and patient privacy obligations into account from the outset, helping your practice communicate with confidence and care.

“The rebrand significantly enhanced [the organisation’s] professional image, strengthened brand recognition, improved consistency across patient and referrer touchpoints, increased confidence among referring general practitioners and medical centres, and established a scalable brand platform to support the organisation’s continued growth and expansion.”

How we help

Five ways we support growing clinics.

R

GP referral growth

Set your practice apart and build lasting trust with the GPs in your area.

  • Referral process flow optimisation: a smoother path from referral received to referral reports
  • Service and offering refinement: GPs know exactly what you treat and why to refer to you
  • Marketing materials, created or refreshed: referral flyers, practitioner profiles and GP packs that leave a lasting impression
  • Service flyer design and print: flyers for each service, designed and print-ready
W

Website and online presence

  • Practitioner and service pages: new pages whenever your clinic changes
  • Fees and booking: clear fees, rebates and booking information
  • Patient-friendly structure: helps patients find the right practitioner for their problem
  • Google Business Profile: set-up and updates, so patients find each clinic on Google Search and Maps
  • Health directories: clinic and practitioner profiles on Healthengine and Healthshare, kept accurate and consistent
L

Brand and marketing refresh

  • Brand extension or refresh: so every clinic looks like one practice
  • Print and signage: signage, referral pads, practitioner cards and stationery
  • Local launch plan: for the community and nearby GPs
C

Clinic CX optimisation

We look at your practice through the eyes of patients and staff, then redesign what slows them down.

  • Patient journey mapping: from first search and booking to follow-up, finding where patients wait, drop off or call the front desk
  • Front-desk and admin flow review: spotting bottlenecks and double handling, then simplifying the steps
  • Booking, intake and reminders: designed around how patients and staff actually use them
  • Practice software set-up: configured to fit how your team works
  • Living practice playbook: a short, visual guide to how you work, reviewed each quarter
S

Service design

Great patient experiences don’t happen by accident. UX is what patients and GPs see; service design is the “how” behind it: the people, processes and systems that deliver every visit. We design both together.

We map one real scenario end to end, such as a new patient referred by their GP, from first hearing about your clinic to booking, treatment, rebooking and discharge. Above the line: what patients and GPs do, need and feel. Below the line: what your front desk, practitioners, software, data and rules (AHPRA, privacy) do to deliver it. If new patients wait days after a referral, the blueprint shows whether the hold-up is the referral review, booking or paperwork, so the fix lands in the right place.

  • A current-state service blueprint of one key journey, built from conversations with patients, front desk staff and practitioners
  • Pain points turned into clear opportunities, with patient, GP and practitioner needs designed together

Start with one small project

A fixed scope and a fixed price, agreed before we start.

Every project starts with service design: we map the whole journey, not just the website.

Practitioner and service page update

New or updated pages for your practitioners and services, with clear fees, rebates and booking links.

Patient journey review

We walk through your practice the way a new patient does, from the first search to booking, intake, the first visit and rebooking. You get a journey map, screenshots of where patients get stuck, and a prioritised list of fixes, with quick wins first.

New patient booking and intake

A smoother path from “I need an appointment” to arriving prepared. Clearer booking pages, a shorter intake form, what-to-expect messages before the first visit, and front desk support for phone enquiries and rebooking.

GP referral journey

We map how GPs find, refer to and hear back from your practice, then create the materials that make referring easy: a clear service summary, practitioner profiles, referral flyers and a GP pack that leaves a lasting impression.

Questions practice owners ask

Before we begin.

Yes. Palettiq Health is our healthcare practice: the same team, focused on clinics.

User experience (UX) is how easy and pleasant it is for someone to use something, such as your website or online booking. Good UX means a patient can find the right practitioner, understand fees and book in a few clicks, without needing to call the front desk.

Customer experience (CX) is the whole experience someone has with a business, across every touchpoint, not just the website. In healthcare we call it patient experience: everything from finding your clinic and booking, to the welcome at the front desk, treatment, follow-up and rebooking. It is shaped as much by your people and processes as by your website.

Service design is the “how” behind a good patient experience. It plans the people, processes and systems that deliver every visit, so what patients see works smoothly behind the scenes. Our main tool is a service blueprint: it maps each patient and GP step alongside what your front desk, practitioners and software do, so you can see where time is lost and fix it at the source.

Together they remove friction on both sides of the front desk. UX makes it easy for patients to find you, understand fees and book online, so fewer calls reach reception. Patient experience (CX) makes every step feel clear and cared for, so more patients finish their treatment plan and rebook. Service design fixes the processes behind it, from referral review to intake and reminders, so your team stops double-handling and GPs hear back sooner. The result is a calmer front desk, fuller diaries and a practice that can grow without adding admin.

No. We set up what you already pay for, such as Cliniko.

Only where a task needs it, inside your own system, with our own login. We never copy patient data into other tools.

Healthcare marketing needs a considered approach to compliance. We take AHPRA’s advertising guidelines and patient privacy obligations into account from the outset and flag anything that may need a closer look.

Every project is tailored to your needs and quoted at a fixed price based on the agreed scope. You’ll know exactly what’s included and the full cost before work begins.
